Travel Policies

Introduction

As a courtesy, Pack Flight Services offers occasional travel to conduct tests outside the Central Florida area.  We emphasize that our primary business market is in Central Florida, and demand in that area is high.  Trips outside of our normal area interrupt services to our normal customers, the regulars that provide a steady stream of clients.  Accordingly, tests conducted outside that area are very much a secondary consideration and are offered only as local workload permits. Travelling tests also represent an opportunity cost for us. When a test cancels in our home area, it is usually pretty simple to fill the time with one of our regular customers. In unfamiliar areas, it is significantly more difficult to fill the time when a test cancels unexpectedly.

 

The following policies are in effect for any test conducted outside of Central Florida. Please review them carefully before engaging our services. If you have any questions, please contact us.

Scheduling

Please contact us as early as practical to coordinate a traveling test. We are rarely able to acommodate a travel request with less than 4 weeks notice.  If multiple tests are scheduled during a trip, we prefer to work with a single person to coordindate schedules, rather than individual instructors or students.  Ideally this person is a chief instructor, school manager, or similar person who will be informed of student progress. 

Unless otherwise arranged, we will typically plan the trip to arrive the day before the test is scheduled, and depart the day after it is conducted.  This is intended to provide adequate time to accommodate weather, maintenance delays, or, in some cases, retests or discontinuances.  

Pricing

Tests conducted outside of our home area will have a minimum of a 30% travel fee added to the normal test rate. Please visit our Pricing page for details.  Exact travel fees will depend upon the details of the trip involved.  The school or applicant will also be responsible for covering the airfare, hotel, and rental vehicle expenses incurred during the trip. Invoices for these expenses will be billed at the time that the reservations are made.

 

For any test conducted within Florida, Georgia, South Carolina or North Carolina, we prefer to fly our corporate aircraft, an RV6, to the client location.  In this case, PFS will bill for the actual fuel cost of the trip after returning home.  While this is sometimes more expensive than an airline ticket, it represents a huge savings in travel time and frequently eliminates the need for a rental car.

If a retest is conducted during the same trip as the initial test, it will be billed at 50% of the original test fee, and no travel fee will be applied to the retest.  If a second trip must be made to accommodate a retest, then the retest will be billed at normal, full prices, including travel fees and expenses.

Billing

Once a travel date has been agreed upon, PFS will make the neccesary reservations for airfare, hotel, and rental cars needed to make the trip. Once those charges have been incurred, PFS will invoice the school or applicant, as applicable. Payment of that invoice will be due within 7 days of reciept. These expenses, once incurred, are non-refundable.

Approximately two weeks prior to the trip, PFS will invoice the school or applicant for the test fee, including the travel fee.  Payment of that invoice will be due within 7 days of receipt.  If the invoice is not paid by the due date, PFS will most likely cancel the trip in order to make the time available to local clients.

 

If the test is cancelled by PFS, then the test fee and travel fee will be refunded. If the test is cancelled by the school or applicant, the test fee is refundable with the following limitations.

Tests cancelled more than 48 hours prior to PFS departing Orlando: Test fee and travel fee are both refunded.

Tests cancelled less than 48 hours prior to PFS departing Orlando: Test fee is refunded, the travel fee is not refunded.

Tests cancelled after PFS has left Orlando: Neither the test fee nor the travel fee will be refunded.

General Information

This page, and the policies listed on it are a general guide to how we conduct travel tests. These policies are effective as of 8/16/2023, but are under review and may change.  Some issues, such as discontinuances, must be handled on a case-by-case basis and therefore don't have a firm policy attached to them at this time.
